ASIT Hub

ASIT Hub is the internal operations system of ASIT Industries ("ASIT"), used at www.asitportal.app. This page explains what it stores, in particular about QuickBooks, and what happens to that data when QuickBooks is disconnected.
What ASIT Hub is
ASIT Hub is used by ASIT's own staff to track purchase orders, shipments, packing slips and invoices, and to create invoices in ASIT's own QuickBooks Online company. It is not offered to the public, to customers or to other companies. It does not sell or share data, show advertising, or use analytics or tracking tools.
Accounts are created by ASIT; there is no public sign-up. The app keeps an activity trail of who changed what.
What the app stores about QuickBooks
When a user connects QuickBooks, the app stores:
- the connected company: its QuickBooks company id and name, and who connected it and when;
- the access and refresh tokens that let the app act for the connected user. They are encrypted before they are saved and are never shown on a screen;
- for each invoice the app creates: the QuickBooks invoice id and number, the total, the status (created, needs review, failed, outcome unknown), the request id, and who created it and when;
- a log of QuickBooks activity: the time, what was done, whether it worked, Intuit's reference numbers, and the exact invoice data that was sent;
- the QuickBooks ids of the customer, the payment terms and the income account used for new items;
- the customer's bill-to and ship-to contact lines that are printed on the invoices.
What the app reads and writes in QuickBooks
The app reads only what it needs: the company name, the customer, payment terms, item and account names and ids, the company settings it must check before creating an invoice, and the invoice it has just created (to check it against what was sent).
It writes only two kinds of records: a new invoice and a new item, and only after a person has pressed the confirm button on a preview screen. It never sends an invoice or an email, and it never changes, voids or deletes anything that already exists in QuickBooks.
What the app does not store
Your QuickBooks user name and password (you sign in on Intuit's own page, and the app never sees them), and any bank, credit card or payment card data.
When QuickBooks is disconnected
Disconnecting is one button (Settings, then QuickBooks). The app then asks Intuit to revoke its permission and deletes the encrypted tokens from its database immediately, so it can no longer reach the company. If Intuit cannot be reached at that moment, the tokens are still deleted here, and the connection can be removed inside QuickBooks.
What is kept: the invoice links, the activity log, the saved QuickBooks ids and the customer contact lines. They are ASIT's accounting and audit records and they contain no tokens or passwords.
The app can also be removed at any time from inside QuickBooks, in Intuit's own app settings.
Other services that handle data
ASIT Hub runs on Supabase (database and sign-in), Vercel (hosting) and connects to Intuit (QuickBooks). They handle data on ASIT's behalf under their own terms.
How long records are kept
ASIT keeps these records for as long as ASIT requires for its accounting and legal record-keeping.
Security
All traffic uses HTTPS. QuickBooks tokens are encrypted and stored where the app's users cannot read them. Using the app requires a signed-in ASIT account.
